Privacy Policy

Effective Date: September 25, 2026

This version restates the privacy policy in effect since April 5, 2024, in plain language and with more detail about how the Services work. It does not add new uses of personal information.

OVOU Inc. ("OVOU," "we," "us," or "our") provides digital contact exchange and smart profile services through ovou.com, ovou.me, our Smart Devices, and related products (together, the "Services"). This Privacy Policy explains what personal information we collect, how we use it, and who we share it with.

By using the Services or giving us personal information, you agree to the practices described in this Policy and consent to our collection, use, and disclosure of your personal information as described here.

Where this Policy applies: This Policy is written for people in the United States and Canada. OVOU does not intend to offer the Services to people outside the United States and Canada.

Who This Policy Covers

  • Users: People who create an OVOU account.
  • Visitors: People who view a User's profile, tap or scan a User's Smart Device, or share their contact details with a User.
  • Teams and Enterprises: When a business buys OVOU for its people, we process personal information on that business's behalf. That information is also governed by the business's own privacy policy and our agreement with them. This Policy does not cover how our business customers, or anyone you choose to share information with, handle personal information.

What We Collect

Information you give us:

  • Contact details: name, email, postal address, phone number.
  • Work details: company, job title, industry, work contact information.
  • Account details: username, password, and other login credentials.
  • Payment and shipping details: card or bank information and shipping address. Payments are processed by our third-party payment processors.
  • Anything else we ask for at the time we collect it, or that you agree to give us.

Your profile: Anything you add to your OVOU profile, such as your photo, links to other accounts (for example, LinkedIn), and any other content you choose to include.

People you meet (lead capture): Users can record the contact details of people they meet. This includes what a person enters into the contact form on a User's profile, and what a User records themselves, such as a photo of a paper business card, notes, a photo, a voice memo, and where the meeting took place. At a User's request, we may add details from third-party data providers and public sources, such as a person's company, job title, or professional profile. We process this information to provide the Services to the User who collected it. If that User belongs to a Team or Enterprise, we process it on behalf of that business.

Information collected automatically:

  • IP address, browser type, device type, operating system, and device identifier.
  • Pages you visit on our sites, the pages you came from and go to next, search terms, and the date and time of your visit.
  • How you move around and use our sites, which we combine with other information.
  • Profile views, and whether a profile was opened by QR code or by NFC tap.
  • On mobile devices: device information, phone number, and physical location.

Information from third parties: We may receive information about you from social media platforms (such as Facebook, Instagram, X/Twitter, or LinkedIn), data providers, and public sources. With your consent, this may include your basic social media profile, location, contacts or followers, and activity on that platform. We use it to provide the Services, to help Users connect, to prevent fraud, and for marketing and advertising. Information you give a third-party platform is also governed by that platform's privacy policy.

Cookies, Pixels, and Analytics

  • Cookies: Our sites set cookies. You can block cookies in your browser settings, but some parts of the Services may not work.
  • Pixels and web beacons: Our pages and emails contain small tracking images and scripts. We use them to count visits, measure which content is popular, check that our systems work, and see whether our emails are opened and clicked.
  • Advertising: We use Google, Facebook (Meta), LinkedIn, and other ad networks to show OVOU ads, including retargeting ads to people who have visited our sites. These partners may set their own cookies and pixels, which are governed by their own privacy policies.
  • Server-side ad measurement: We may also send certain information directly from our servers to our advertising partners to measure how our ads perform. This can include your email address and phone number in hashed form, your IP address, browser information, and ad cookie identifiers.
  • Analytics: We use analytics tools such as Google Analytics, and session recording tools that record how visitors interact with our pages. Google may use the data it collects to personalize ads in its own advertising network.

How We Use Your Information

We use personal information to:

  • Provide, run, and maintain the Services, including creating your account.
  • Let you use interactive features, and help Users and Visitors connect and exchange contact details.
  • Respond to your questions and send you information you ask for.
  • Fulfil our contracts with you.
  • Send you marketing and special offers from OVOU or our marketing partners, unless you have opted out.
  • Understand how the Services are used, create anonymous reports, and run business analytics.
  • Improve, customize, and secure the Services, fix problems, and develop new products and services.
  • Manage our relationships with vendors, suppliers, parent companies, affiliates, subsidiaries, and business partners.
  • Enforce our Terms of Service, comply with the law, and respond to lawful requests.
  • Do anything else we tell you about when we collect the information, or that you agree to.

We may also use de-identified or aggregated information for purposes not listed here.

How We Share Your Information

  • Service providers: Companies that host the Services, fulfil orders, manage databases, run analytics, process payments, provide customer support, or send messages for us. They may use your information only to provide those services to us. Our current list is at trust.ovou.com/subprocessors.
  • AI providers: When a User scans a business card or records a voice memo, we send the image or audio to a third-party AI provider to read the contact details or transcribe the audio. Our current AI providers are listed at trust.ovou.com/subprocessors. We use the results only to provide the Services.
  • Integrations you connect: If you or your organization connect OVOU to another app, such as a CRM (Salesforce, HubSpot, Zoho CRM, Microsoft Dynamics) or an automation tool (Zapier), we send the information you choose to sync. That app's own privacy policy then applies.
  • Public profiles: Your OVOU profile is public by design. Anyone with the link can see it, including anyone who taps or scans your Smart Device, on purpose or by accident, and anyone they pass the link to.
  • People you share with: When you share your card with someone, they get the information on it. We can't control what they do with it, so share only what you're comfortable sharing for business or networking.
  • Connecting Users: We may use information stored in the Services (such as contact details, profile information, and connections) and information you have made public elsewhere to help other Users find you and to suggest connections. We may also share your interest in certain services to help Users connect with you.
  • Legal and safety reasons: We may disclose information without notice to comply with the law, a court order, subpoena, or warrant; to cooperate with investigations or audits; to meet government or regulatory requirements; to protect the rights, property, or safety of OVOU, our affiliates, our people, our partners, or our Users; to enforce our Terms of Service; or to verify a User's identity.
  • Business transfers: If OVOU merges, is acquired, sells all or most of its assets, goes bankrupt, or reorganizes, personal information may be transferred to the new owner. You agree to any such transfer.
  • With your consent: We may share information in other ways you agree to.

Except as described in this Policy, we do not sell, exchange, trade, or disclose your personal information without your consent.

Links to Other Sites

The Services may link to other sites and apps, including social media platforms. This Policy doesn't apply to them, and we aren't responsible for their privacy or security practices. Please read their policies. A link doesn't mean we endorse the site.

De-identified Information

We may aggregate, anonymize, or de-identify personal information so it can no longer be linked to you or your device. OVOU owns this de-identified information and may use it for any purpose, including research and marketing, and may share it with anyone, including advertisers and partners.

Security

We use commercially reasonable measures to protect your information, and OVOU has completed an independent SOC 2 Type II examination of its security controls. Still, no data sent over the internet or stored by us or our providers is 100% secure. We don't promise or guarantee that your information will always stay private or secure, or that it won't be misused by third parties, and we aren't responsible if someone gets around our privacy settings or security features. You agree that we will not have any liability for misuse, access, acquisition, deletion, or disclosure of your personal information. Information you put on your profile is shared at your own risk, and we aren't responsible for how third parties use it.

Where We Store Data

We store data, including personal information, on servers in Canada and the United States. By giving us information, you agree to it being transferred, stored, and processed there.

How Long We Keep Data

We keep personal and account information for as long as we need it for the purpose we collected it, or as the law requires. This can extend beyond the end of our relationship with you. As a general rule, we keep profile information for up to one (1) year after an account is deactivated, and profile analytics for at least ten (10) years.

You can ask us to delete your information at any time. We may still keep some information to prevent fraud or abuse, for account recovery, for legitimate business purposes such as analysis of aggregated, non-identifying data, or where the law requires it. Anything we keep stays covered by this Policy.

Your Choices and Rights

  • Access: You can ask for a copy of the personal information we hold about you and a general account of how we use it. We'll verify your identity first. In limited cases allowed by law, such as when the information is also about another User, we may not be able to give you everything; if so, we'll tell you why on request.
  • Correction: We give you ways to update, correct, delete, or add to your information. Where appropriate, we pass corrections on to the parties we're allowed to share your information with.
  • Deletion: See "How Long We Keep Data" above.
  • Marketing emails: You can opt out of marketing emails at any time using the unsubscribe link.

Minors

The Services are only for people 18 and older. If we learn that someone under 18 has given us personal information, we'll take steps to remove it as the law requires. If you think we have collected information from someone under 18, contact us.

European Union Residents

If you live in the European Union, you may also have the right to:

  • Object to our processing of your personal information, including for profiling or direct marketing.
  • Receive your personal information in a portable format, or have it sent to another provider where technically possible, as long as that doesn't reveal other people's information.
  • Ask us to restrict processing of your personal information.
  • Challenge how OVOU handles personal information.

Where we rely on your consent, you can withdraw it at any time; this doesn't affect processing we did before you withdrew. To use these rights, email support@ovou.com. You can also complain to your local data protection authority; the list is at https://www.edpb.europa.eu/about-edpb/about-edpb/members_en.

California Residents

The categories of personal information we have collected in the last 12 months are described in "What We Collect" above. We collect it for the business purposes described in this Policy. OVOU does not sell personal information (as "sell" is defined in the California Consumer Privacy Act).

Subject to certain limits, California residents have the right to ask what personal information we collect and how we use and disclose it, to ask us to delete it, to opt out of any sale, and not to be treated differently for using these rights. To make a request, email support@ovou.com. We'll verify your request using your account information, such as your email address, and may ask for government ID. You can also have an authorized agent make a request for you.

Changes to This Policy

We may update this Policy from time to time. The version in effect when we collect, use, or disclose information applies. If we make material changes, or change how we use personal information, we will post a notice on our websites and email you before the change takes effect. If you keep using the Services after changes are posted, you accept them.
